Welcome to Papilio. We will help to get started using Papilio in no time.
Setup guide is in two parts.
1. Setup your company information

3. Configuring Papilio for your company
All this can be done under "Admin" section. To navigate to "Admin" section, click on top right corner after successful login to Papilio. Choose option "Admin" from the drop-down menu.
"Admin" area is opened in a separate tab of your browser. Following is the default view of Admin area.
Now let's get started!
Setup your company information
While registering your company with Papilio, you might have given basic information about your company. To elaborate it further and complete the information, please go to "Admin" tab and click on the tab "your company name". This page will show you your company information.
Click on "Edit" to enter your company information in detail. To update information, click on "Save Client". This will update your information in Papilio.
Creating users for your company
From your company page, click on "Add Contact" to add a new contact. Enter full name and email address of the user. Please note that same email address cannot be used for more than one user. Check "Can Login" if the contact you are adding requires login to Papilio. On checking "Can Login", you are presented with privileges, as shown below, that can be
assigned to this contact on Papilio. You may want to read detailed explanation on "User Rights".
If you do not wish to grant additional privileges to the user, just enter other details and click "Save". User can login as an executive with out any additional privileges.
What are access rights?
A manager requires more access on Papilio, like creating services, managing people with in a service etc., An administrator or super administrator (who actually is a partner/ director of your company) requires different access rights like adding new users to Papilio or inactivating existing users, closing services, or access reports etc. Access rights are such privileges, provided on Papilio to a user depending on their roles and responsibilities in your company.
Lets move on to the next activity -
Creating Clients
Please go to "Admin" tab and click on the tab "Clients".
This page displays all active clients by default.
By clicking on "Actions" on top right corner in this page, you can choose to add clients
- One after the other by clicking "Add Client" button or
- Upload all clients. Please download the format in which you have to upload the your client information.
Initial Settings
Please go to "Admin" tab and click on the tab "Settings". In here, all settings can be done for your company account. Let us start with the basic one - Categories
This step helps you define major divisions (or verticals) with-in your firm and then various types of services under this division. An example is - You may create a category called "Audits" and under this category, you may create many service types like "Due Diligence", "Internal Audit", "Statutory Audit" etc.,
Similar to the above example, you may create any many categories and create any many service types under this category.
Understanding Templates
Templates capture whats and hows of a service along with files to work on. Here is where you can capture entire sequence of steps to perform a service from its inception to completion. While creating a service, use these predefined templates so that the service gets all tasks and base files from a template. Templates allow you to define what is required to be done for each major activity with in the service in terms of Task lists. One template can have multiple task lists and each task list can have multiple tasks. Task list helps in breaking down the service into smaller measurable segments. And, one template can have many files.
What needs to be done if the service type is same but it varies based on other conditions like, type of client (Individual, Partnership, Private Ltd, Public Ltd., Trust etc.,), or turnover of the client etc.,
How many templates can I have for a service type?
Papilio allows you to create any many templates for a given service type. So, you could create different sequence of steps depending on different parameters even though the service type is same. To give you an example, For service type "Company Incorporation", steps for a proprietary varies from Public Limited. You can have two templates for "Company
Incorporation", namely, "Company Incorporation - Proprietary" and "Company Incorporation - Public Limited".
Is it must that I should have templates?
Having templates for all service types you provide is a great advantage in multiple aspects. One, you have all the knowledge written in one place. Second, when ever you create a service, you need not keep adding same tasks again and again. Just choose appropriate template and all required information is present in the service. Finally, you can predict the
outcome of the service because, it follows a set of predefined actions.
With all this intro and hype about templates, let us see how to play with templates.
Creating Templates
Please note, you need to have additional privileges to create templates.
To create a template, go to "Admin" tab and click on "Templates". Click on "Create Template". It will take you to "New service template" page.
In this page, enter name of the template, a brief description and select appropriate Category and Service Type. Go ahead and click on "Create". A new template is created and shows you the same page again, this time with options to add task lists and tasks and associate files.
Click on Add tasklist to create new task lists and tasks for this new template.
Enter the name for the task list. For this task list, I named "FIXED ASSETS" and I want to list out all the tasks that are required to be performed in this.
Like: "Obtain & review the updated FAR", "Ensure that the FAR contains the required details as per CARO", etc., Each of this is a task in this task list. Grouping tasks logically helps in defining due dates for each of these tasklists in this service. After entering all tasks, click on "Update" to create one task list. What you see after you update a task list is this:
If you missed out any task in the task list, you can always click on "Edit" link in the task list to change tasks or due date etc. Creating task lists and tasks gives body to templates. To give content, in terms of files, you can attach any many files to a template. Let us show you how you can attach files to a template:
Click on "Attach more files" to select a file from your hard disk and upload it to this template. As you can see, in this example, I attached a blank, unfilled VAT-100 file. In the similar manner, you can create any many templates for the same service type or for any other service type.
